Verification of Employment

Human Resources handles all Verification of Employment requests in order to provide present or past employment status to a third party.


Verification of Employment

To ensure confidentiality and validity, all Verification of Employment (VOE) requests should be routed through the UWF Human Resources Department (HR). Maintaining this process will guarantee compliance with legal requirements and protection of employee information.

Examples of requests include, but are not limited to:

  • Requests from employers for salary, job title, and dates of employment
  • Employment verifications for financial institutions (e.g., mortgage verifications, loan applications)
  • Employment verifications for government agencies (e.g., Social Security, background checks)
  • Public Service Loan Forgiveness (PSLF)
  • Any inquiries related to past or present employees’ job history
  • Letters required for immigration purposes

Verifications will be completed by HR within three business days, which excludes weekends, holidays, and campus closures.

Current & Former Employees

Verifying your own employment?

A Verification of Employment Authorization Release form is available to current or former employees wishing to request an employment verification letter or for Human Resources to complete a third-party verification form. Please note that only employment dates, job titles, and salary information will be provided.   

All fields on the release form should be completed, which includes an authentic signature. The employee/former employee must either physically sign the release form or sign electronically via Adobe Sign or DocuSign then email the form to Human Resources.

Verifications are completed within three business days.

Government Agencies - Background Investigations

Government agencies completing background investigations for national security positions should reach out to Nicole Zamary (nzamary@uwf.edu) and Christine Dillard (cniemann@uwf.edu) to schedule an appointment to complete the request. Investigators should be prepared to provide the Verification of Employment Authorization Release form upon meeting with Human Resources.

Third-Party Verifications

Do not send Social Security Numbers via emails, within text content and/or attachments.

HR will only provide information once a Verification of Employment Authorization Release form signed by the current or former employee has been received that authorizes information to be released to the company making the request.

Verbal Verifications

HR will only complete a verbal reverification for mortgage inquiries that have a recent initial request that includes an authorization to release information signed by the employee. Verbal reverifications only provide active or inactive employment status and position title. All other verifications must be sent via email to Human Resources.

UWF Related Entities

HR can only verify employment for current or former UWF employees. Individuals employed by University contractors must contact their respective employer to request a verification. Examples of UWF contractors are Dining Services and the UWF Bookstore. Though employees of these contractors work on campus, they are not employees of UWF. These companies maintain their own payroll and personnel records. If you are a current or former employee of a UWF contractor, contact your employer directly for instructions on how to verify employment.
