Housing Accommodations

Reasonable housing accommodations are determined through an individualized assessment of each student's disability-related needs.

Examples of housing accommodations include, but are not limited to, the following:

  • Accessible furniture
  • Accessible room location
  • Modified room assignment
  • Visual notification accommodations

Steps for Requesting Housing Accommodations

Students requesting accommodations in Housing and Residence Life will need to complete the following steps:

  1. Complete the Housing and Residence Life contract. You must have an accepted Housing and Residence Life (HRL) contract before requesting accommodations. Students must complete the housing contract by the applicable HRL deadline. Please refer to Housing for contract application and submission deadlines.
  2. Complete the SAR Accommodations Request online application
  3. Complete the “Request for Reasonable Accommodations in University HousingGoogle Form.
  4. Provide a letter from a qualified medical or mental health provider. The letter from your provider must include the following information:
    1. Confirmation that the student has a physical or mental impairment that substantially limits one or more major life activities, based on the provider’s professional evaluation
    2. Identification of the major life activities impacted by the condition
    3. The specific housing accommodation(s) being recommended
    4. An explanation of how the condition necessitates the requested accommodation(s)
    5. Date of the student’s most recent appointment with the provider
    6. Length of time the provider has been treating or working with the student for this condition
    7. Whether the condition is permanent or temporary.
    8. Provider’s name, credentials, associated organization, address, signature, and date
    9. The letter must be on official letterhead
    10. Incomplete documentation may delay the review process. We recommend reviewing your provider’s submission to ensure all required information is included.
  5. After submitting all required information above, please schedule an appointment with SAR staff to discuss your request. To schedule your appointment, please contact Student Accessibility Resources at 850.474.2387 or sar@uwf.edu.

Priority Deadlines for Housing Accommodation Requests

  • Fall Semester: May 1
  • Spring Semester: November 1
  • Summer Semester: April 1

Note: Your housing accommodation request is not considered complete until you have submitted all required forms, provided all required documentation, and met with a Student Accessibility Resources (SAR) staff member.  If your request is incomplete or completed after the applicable priority deadline, it will still be reviewed.  However, due to housing availability and room assignment timelines, the University cannot guarantee that accommodation requests received after the priority deadline can be implemented.

Who can request housing accommodations?

Students with a documented disability who need housing accommodations due to functional limitations related to their disability may request accommodations through Student Accessibility Resources (SAR).

*Please refer to Housing & Residence Life for contract application and submission deadlines, as these are separate from SAR's housing accommodation priority deadlines.

Do I have to complete the Housing and Residence Life contract before requesting accommodations?

Yes. You must have an accepted Housing and Residence Life contract before SAR can review your housing accommodation request.

When is my housing accommodation request considered complete?

Your request is considered complete only after all of the following have been received:

  • All required applications and forms
  • Supporting documentation
  • A meeting with an SAR staff member

Requests that are missing any of these items are considered incomplete.

What happens if I submit my request after the priority deadline?

SAR will still review your request. However, because housing assignments and room availability may already be finalized, the University cannot guarantee that accommodation requests completed after the priority deadline can be implemented.

Are the Housing and Residence Life contract deadline and the housing accommodation priority deadline the same?

No. These are two separate deadlines that serve different purposes.

  • Housing and Residence Life contract deadline is established by Housing and Residence Life and determines your eligibility to participate in the housing assignment process.
  • Student Accessibility Resources (SAR) housing accommodation priority deadline is the date by which your entire housing accommodation request must be complete.
