Staff and Faculty Employment
The University of West Florida employs individuals in a variety of employee classifications. Each of these classification comes with its own unique set of requirements and processes as it relates to hiring and working at the university. Executive Service, University Work Force staff, and Faculty positions are generally employees who complete university mission critical duties within established positions. Each of these positions has an individual position number, which begins with a "1", and an individual job description (except Faculty). These positions can be full-time or part-time and accrue benefits accordingly.
Executive Service, University Work Force staff, and Faculty
Executive Service:
Executive Service positions ordinarily report directly to the President or Board of Trustees (BOT) of the University and include the President, Executive Vice President, Vice Presidents and other executive level positions. These positions are at the will of the President and BOT and have no expectation of appointment beyond a 60-day notice period unless there is a contractual agreement altering these terms.
University Work Force staff:
University Work Force staff positions fall into seven different categories: Administrative/Managerial, Crafts/Trades, Executive Administration, Office/Program Support, Professional, Services, Specialized and Paraprofessional. University Work Force staff employees are required to serve an initial one-year probationary period or Position Orientation Year.
University Work Force staff (Time-Limited Positions):
Time-limited positions are typically positions funded by a contract or grant for a specified period of time. Employees filling positions designated as time-limited do not have retention rights under layoff rules and regulations, nor have layoff appeal rights. Note: Time-limited position numbers have a "T" as the last digit.
Faculty:
Faculty positions are generally for the purpose of teaching, research, or administration of academic departments. They are contractual in nature and may be renewed annually. Faculty contracts are generally for twelve or nine months and typically begin in August.
Before hiring one of these types of employees or filling a vacant position, please make sure you have gone through the proper procedures to recruit for the position or have an approved Request for Waiver of Advertisement and that the salary for the position has been approved. Salaries should not go over the maximum of the pay range listed in the job posting or over the maximum for the pay grade without HR approval.
Personnel Action Forms for these positions must have the proper signatures before being processed by HR. Personnel Action Forms should be routed: 1) per the individual division's Delegation of Authority, 2) to any other departments involved (i.e. Research Administration and Engagement, Foundation), and 3) through the Budget Office.
Other Personal Services (OPS)
OPS positions (OPS Staff, OPS Faculty, Adjuncts) are temporary, at-will employees. These positions are typically used to accomplish short term or intermittent tasks. These positions do not fill established individual positions with individual positions numbers, but have pooled position numbers. Human Resources will assign the position numbers on these Personnel Action Forms at the time of processing.
OPS employees are not eligible for most benefits (i.e. annual leave, sick leave, holidays and tuition waiver). However, they are eligible for the mandatory State of Florida 401(a) FICA Alternative Plan, Employee Assistance Program, participation in certain State Group Insurance benefits (must meet eligibility requirements) and certain investment plans.
Personnel Action Forms for these positions must have the proper signatures before being processed by HR. Personnel Action Forms should be routed: 1) per the individual division's Delegation of Authority, and 2) to any other departments involved (i.e. Research Administration and Engagement, Foundation, working Extra State Comp in another Department or Division). These Personnel Action Forms do not need to go through the Budget Office.
Before hiring an OPS employee, supervisors and office administrators should:
- Assure they have management approval prior to filling new or vacant positions.
- Verify that funding is available.
- Review the OPS Staff Pay Plan to determine the appropriate pay grade for the position based on the duties to be performed.
- Get HR approval if the salary is above the maximum for the Class Code.
- Contact HR if you have any questions regarding salaried exempt positions. All salaried, exempt positions must meet the salary test ($684 per week minimum) and duties test, per the Fair Labor Standards Act.
International Employees
All foreign nationals who are offered employment by UWF must have employment authorization typically in the form of an employment-based visa before they can begin work.
