New Employee Information

Looking for information to help you prepare for your first day? Here we answer questions you may have concerning your parking permit, ID card, computer access, paycheck, timesheet and benefits.


We are pleased that you have selected the University of West Florida as your employer of choice and are excited to have you as part of our team. We believe that UWF is a great place to work and Northwest Florida is a wonderful place to live.

Now that you have accepted your official offer, the next step is to begin the Employee Onboarding process, which includes the completion of new hire paperwork, background check(s), and other pre-employment requirements. Everything you need to know regarding the onboarding process with Human Resources, as well as information to guide you through your first days as a UWF employee, is listed herein. We have also prepared an Applicant Onboarding Checklist to assist you throughout this process.

Prior to Beginning Work at UWF

All Faculty, University Work Force staff, OPS Staff, and Adjuncts are required to go through the recruitment process via the PageUp system. Once an official offer of employment has been received and accepted, our Employment Team will begin your onboarding process via the PageUp portal. You will also be asked to complete New Hire Essential Documents with the Processing/Records Team. These are separate onboarding processes, which are handled concurrently, to allow for a quick and smooth hiring process at UWF. As such, you will receive requests to complete the various onboarding tasks from multiple people in the Human Resources Office. Each of these tasks/processes must be completed prior to your start date with the university. If you have any questions during this process, please reach out to Human Resources at 850.474.2694.


Pre-Employment Processes

After you have accepted your tentative offer of employment, you will be contacted to complete your pre-employment processes. The pre-employment paperwork you are required to complete will be dependent upon the position and current or previous UWF employment. Possible items to be completed include:

  • Background Screening Form
  • Statement of Controlled Substance Conviction Form
  • UWF Level 1 Background Screening Form
  • UWF Level 2 Background Screening Form (if applicable)
  • VECHS Applicant Waiver Agreement and Statement (if applicable)
  • Outside Activity & Conflict of Interest Form

New Hire Essential Documents Completion

Once your hiring department has notified the Human Resources' Processing/Records Team of your anticipated start date, we will reach out via the email address used on your application to begin collecting the new hire essential documents. In order for Human Resources to be able to process you into the system, all of the new hire essential documents must be received prior to your start date. Once you have been fully processed into the UWF system, Human Resources will notify the hiring department and provide them with your UWF ID. The UWF ID is needed in order to be able to activate your account.

Helpful Information for your First Weeks at UWF

Now that you have completed the pre-employment processes and your new hire essential documents, you are probably wondering what your next steps are. Human Resources has compiled a New Employee Checklist to guide you through your first few days and weeks at the university. This checklist includes a number of topics, such as:

  • Activating Your UWF (ArgoNet) Account
  • Finding Your Way Around
  • Obtaining Your Nautilus Card
  • Getting Your Parking Permit
  • Participating in New Employee Orientation
  • Attending Mandatory Professional Development Training
  • Enrolling in Benefits and Retirement Plans
  • Submitting Timesheets and/or Leave Reports
  • Receiving Your Paycheck
  • Earning Leave
  • Requesting Accommodations for Disabilities
  • Learning Your Job

Benefits Offered

Once you’ve officially come onboard, you will need to make several decisions regarding benefits and retirement options. As a new hire, you will have a 60-day enrollment window to choose which benefits you wish to enroll in.

Starting on day one, you will need to complete New Employee Orientation (NEO), where you will learn about all the incredible benefits offered by the University in more detail. You can access the NEO Online Course (Part 1 of 2) in MyUWF through the SCOOP application. You will have 30 days to complete this course from your official hire date. After completing this course, you will need to schedule one of our benefits enrollment meetings, which occur twice a month. Please enroll through our Professional Development Library.. This step cannot be completed until you have finished the entire New Employee Orientation course.
