Email Signature Generator

Email is our most common form of day-to-day communication and therefore one of the most visible ways we communicate. Clear, consistent email identification strengthens the UWF brand. Please use the form below to enter your information. If no information is entered in a field, it will not appear in the generated signature. When you are finished filling out the form, use the “Generate Signature” button and then follow the instructions to add the signature to your Gmail account. Please note that any additional text or graphic elements are not permitted to be added to a UWF email signature.

Your generated email signature is below. Please proofread to make sure all information is correct. In addition, please open the links to make sure the linked content is and added correctly to your signature. If any information or links need updating, please generate a new signature.

To add your signature to your Gmail account, click the Copy Signature button and then proceed with the following steps:

  1. Open Gmail.
  2. In the top right, click Settings, then See all settings.
  3. In the Signature section, select all of the content in your current signature and delete then paste your new signature in the text box. If you do not currently have a signature, you will need to click Create new, give it a name, and then paste the signature into the text box that appears.
  4. Just below the signature box, review and update the Signature Defaults options For New Emails Use and On Reply/Forward Use as needed.
  5. At the bottom of the page, click Save Changes.
  6. Compose a new email to verify the signature has been updated. Recommend sending a test email to yourself or a coworker (give them advanced notice) to confirm no issues sending emails with the updated signature.

To ensure the best formatting of your email signature, do not resize the logo image or add anything to the signature. Please note that any additional text or graphic elements are not permitted to be added to a UWF email signature. For questions, contact University Marketing and Communications.


Personal Information

1Add your department's website full URL (e.g., https://uwf.edu/offices/university-marketing-and-communications/) or vanity URL (e.g., https://uwf.edu/umc) in the department website field. The department text added in the Personal Information section will be hyperlinked with the URL after the email signature is generated. If multiple departments are added, the corresponding department text will be hyperlinked with the corresponding department URL. If no URL is added to the department website field, the department field will output as plain text (i.e., not linked) after the email signature is generated.

2If you wish to include a non-department link in your email signature, add the full URL (e.g., https://uwf.edu/brand/) in the Custom Link Text URL field and the corresponding link text (e.g., UWF Brand Portal) in the Custom Link Text field. The Custom Link Text will be hyperlinked with the Custom Link Text URL after the email signature is generated. The Custom Link Text should be descriptive for the Custom Link Text URL. For example, Book an Appointment, UWF Brand Portal, or Give to UWF. Do not add a URL in the Custom Link Text field. The Custom Link Text and Custom Link Text URL are dependent meaning that both fields must be filled in for the link to be added to the email signature generated.

Due to Florida's broad public records law, most written communication to or from University employees is considered a public record. Therefore, the contents of this email, including personal email addresses, may be subject to disclosure in the event a request is made.


Social Media

Only accounts affiliated with the University may be utilized.

Enter only the username or account identifier that appears after the main social media website URL. Do not enter the full URL, as the generator automatically adds the appropriate social media website address for each platform (e.g., https://www.facebook.com/) to create the complete link. Entering the full URL will result in an invalid or broken link in your generated email signature. For example, if you want to add the UWF Facebook page URL, enter only WestFL in the Facebook field. The generator will automatically create the complete https://www.facebook.com/WestFL link.
