SPIN
UWF must annually complete an inventory of space and equipment as part of our required indirect Facilities and Administrative (F&A) rate negotiation with the federal government and for other reporting requirements. The space inventory process is a vital and required component of our financial management, and provides certified data for space management and office allocation.
To more accurately document the space use on campus, we will use the Space Inventory and Allocation System (SPIN) to collect space inventory and use data. This data will be utilized in various reporting activities and in calculating the federal Facilities and Administrative cost for sponsored projects.
The SPIN portal will be open from May 1 through July 31, 2025.
The SPIN portal can be accessed through MyUWF (search for SPIN). Based on the previous inventory year, certifiers are typically the Department Office Administrators and/or Building Emergency Coordinators. Authorizers are the department chairs or the division administrators. You should already have special access to verify rooms in SPIN. However, if you need to request access, please email spin@uwf.edu.
The data collection includes data entries/updates and verification of facilities and assets data used to assist Facilities, the Controller's Office, and Research Administration & Engagement (RAE) with updating and keeping current the changes to rooms, fixed assets, and accumulating data for the federal indirect cost rate proposal. Each department must review and verify and update as needed the:
- Basic Room Information
- Room Use Allocation
- Room Occupants
- Condition of all fixed assets valued at $5,000 or greater that are assigned to and/or held by the department.
- Sponsored research and grant projects
We ask that you complete all data entry and certification on or before July 31, 2025. Resources for verifying your department's rooms include:
