UWF's Administrative System gives you the ability to review and print current grade rolls and class rosters, and to electronically transmit grades to the Office of the Registrar.
The grade roll browse can be reviewed to see what grades have been transmitted and to display specific grade rolls. The grade roll browse displays all the courses, including reference number, course number, department, instructor, and whether the grades have been updated, transmitted, reviewed, locked, and loaded.

The grade roll is used to enter grades for a class. Instructors or other employees authorized by the departmental chair may view only their own grade rolls. You may also enter a short comment (e.g., never attended). If the student is receiving veteran's assistance, it will be noted. You may add students if they are not on the grade roll. Grades can be viewed, but not changed by the individual user, throughout the following semester (contact Office of the Registrar for information on changing grades).
To transmit grades, you must have a valid personal identification number (PIN). If you do not have a PIN, contact your work station manager (usually in your dean's office).
Use the RETURN key or TAB key to choose one of your classes (if a class of yours is not displayed, press F8 to move forward);

If any grades have been previously entered, the screen will show when the grade roll was last updated and who last updated it. Use the TAB key to move around the screen. Valid grades can be displayed by moving to the grade prompt and pressing F1. Valid grades will be listed; to exit the help screen, press F3. The system will give you an error message if an invalid grade is entered onto the system. You must update each page of your grade roll. If you do not, grades on that page will not be kept by the system.

Continue until all grades on the first page are entered (some grade rolls have more than one page). If you have more than one page of grades, press F2 (to update), then F8 to move to the next page. Continue this process until all grades are entered.
IMPORTANT NOTE: If there is a date format (MM/DD/YYYY) in the "Attended" column and you wish to assign a grade of F, I, G, U, W, or WF, you must either replace the MM/DD/YYYY with the date the student last attended the class or enter an N in the "N/A" column to indicate that the student never attended.
Students may be added to the grade roll (but not to the class roster) by typing a valid social security number for the student after the last student listed. Grades may be partially entered and updated; all grades do not have to be entered all at one time. Updating validates both grades and added student social security numbers. Added students may be deleted by erasing the social security number and pressing update (F2). After all grades and students are entered, the grade roll must be updated and then transmitted.

Changes may be made to the grade roll after it has been transmitted until they are locked and loaded into the system. Lock and load is used by the Office of the Registrar to transmit grades to the master student file. If a change is made after grade transmissin, but before the grades have been locked and loaded, the grades must be updated and retransmitted. Grades may not be changed electronically once they have been locked and loaded. Grades will be locked at the published deadline on the date grades are due.
To enter another class' grades, return to the grade roll browse and begin the process again.
