Employees should update their on-line time sheets each day. Supervisors should review and approve time sheets as well as leave reports at the end of each pay period to ensure employees are paid and their leave balances are up-to-date and accurate. Hourly employees are paid based on the completion of their on-line time sheets. If an employee does not complete the on-line time sheet, it may delay an employee’s pay. Effort and Leave Recap Reports Effort and Leave Recaps (paper time sheets) are required for various reasons:
Supervisors should immediately request an Effort and Leave Recap Report by contacting Carol Gentry at 474-2605, Jeff Comeau at 474-2610 or Nicole Lohr at 474-2608. Hourly non-exempt employees record hours worked and hours of leave used each pay period. To ensure changes to an employee’s pay and leave are calculated properly, the Effort and Leave Recap Report should be completed for the entire pay period, not just for the corrections, and should be accompanied by a copy of the time sheet that was originally submitted for the period in which the error occurred. This provides a single complete record to make comparisons to other documents submitted. Effort and Leave Recap Reports for hourly paid employees must be received in Human Resources by 10:00 a.m. on the bi-weekly payroll deadline to be processed in the current period. In order to meet the processing deadline, off campus locations may fax (850-857-6030) the reports to Human Resources and follow up by sending the original, signed and approved documents through campus mail. Employees are required to sign the Effort and Leave Recap Report attesting to their hours worked. In extreme emergencies (i.e., employee illness) departments may put “Unavailable for Signature” in the signature field. Supervisors should then have the employee sign a copy of the recap form upon their return to work and send to Human Resources. For more information, contact Jeff Comeau at 474-2610, Carol Gentry at 474-2605, or Nicole Lohr at 474-2608. |
