Parking Lot Closure: Cab After Dark will be held Friday, April 13, 2018, 7 to 10 p.m. in the Commons parking lot (Lot H). Please be aware that Lot H will be closed prior to this event to allow time for set-up of the event.

The UWF Bookstore has reorganized the course materials (textbooks) section in the store to be in alphabetical order by author. Notice (effective January 21, 2018) - Postage Rate Increase: The U.S. Postal Service has announced that retail postage rates will increase about 1.9 percent on Jan. 21 for First-Class, Media, Library and Bulk Mail. A one ounce First-Class Forever Stamp will increase from 49 to 50 cents each. Priority, Express and other shipping classes of mail will increase about 3.9 percent. However, the good news is that all departmental First-Class letters processed by UWF Postal Services will receive a 3 cent postage discount.

UWF Notice: Influenza Advisory
Due to the widespread nature of the flu throughout Escambia County and the U.S., the University of West Florida would like to remind students, faculty and staff of important health tips and resources. The Centers for Disease Control and Prevention has declared influenza (flu) an epidemic in the U.S. According to the CDC, influenza is a contagious respiratory illness caused by flu viruses. It can cause mild to severe illness. Serious outcomes of the flu infection can lead to hospitalization or death. Children six months of age to 23 months of age are considered at high-risk for flu complications and the CDC recommends they be immunized. The flu shot is the use of injectable influenza vaccines (including inactivated influenza vaccines and recombinant influenza vaccines) that is usually administered with a needle, in the arm. The fluvaccine is approved for use in people older than six months, including healthy people and those with chronic medical conditions.

UWF Campus Cats
UWF is proud to announce the UWF Campus Cat Program. The program was initiated to provide a safe and healthy environment for our campus cats who participate in a Trap, Neuter/Spay, and Return program. Cats also receive vaccinations, parasite control, and veterinary visits. A dedicated team of volunteers work to ensure cats are cared for daily. Food, shelter and health care is provided through private funding. Please see the website for additional information on volunteering and to donate to this program.

UWF Environmental Health and Safety department is working to make safety training more accessible to all UWF employees starting with 2 new online safety courses: Golf Cart/Motorized Cart Training and Storm Water Awareness Training.

Golf Cart/Motorized Cart Training is now online. All University employees that drive or may drive a golf cart/motorized cart on campus must take this training. Visit the SCOOP app in MyUWF to obtain your Golf Cart/Motorized Cart training. Don't forget to take the quiz at the end. This training is only required once.

Storm water Awareness Training (SWAT) is open and available online to all UWF employees. This is an optional training for most UWF Employees (Facilities, Building Services, and Utilities are required to take this training yearly). Visit the SCOOP app in MyUWF to obtain your SWAT training. Don't forget to fill out the training form at the end.

Anticipated Completion Date: Substantial Completion currently anticipated for March 2018.
Square Footage: 32,700 gsf
Usage: This two-level mixed-use building will be occupied on the first floor by Athletics/Football. The second floor will be academic space shared by the FSU School of Medicine regional campus and the UWF Usha Kundu, MD College of Health; and includes a multi-purpose/special event space.
Campus Location: The new building is being constructed adjacent to Pen-Air Field, just North of Parking Lot E.

Procurement and Contracts

Phone Extension Change for Director: Please note that the phone number for Angie Jones, Director, Procurement and Contracts has changed to 850.474.2846. The number for the Procurement and Contracts Department will remain 850.474.2628.

Contract Routing: Please note that contracts for the procurement of goods or services must be submitted for review prior to initiating the payment process. Please submit these contracts through the Contract Review Request Service Desk (link). Allow sufficient lead-time for the Office of General Counsel to complete the contract review and negotiation process. Confluence instructions on this new process will be forthcoming.

Please note: You must have an authorized signature authority on file in order to sign contracts on behalf of UWF in accordance with University Policy (link), currently P-04.03-11/15.

Please be advised that all contracts with the University of West Florida, including “click through” agreements, must be reviewed by appropriate personnel and signed by a UWF official with contractual signature authority. Without such review and appropriate authority, the terms contained in “click through” and other agreements may not be considered as accepted by UWF and therefore non-binding on the University and may subject persons signing such agreements to personal liability.

Online Ordering: When ordering goods online (i.e. Dell, Apple, etc.), please make sure you enter the “ship to” address as your building and room number. The current default address is the Procurement and Contracts Office. When the goods are delivered without a name it takes valuable time to track down whom it belongs to and the package is at risk of being refused.

Also, when ordering employee computers, the department should follow the guidelines found on the Procurement website under Commodities and Services – Computer (Buying a Computer) (link). Remember to get ITS approval of your quote before ordering.

Vendor Direct Deposit: In an effort to become more efficient, Accounts Payable is offering the option of Direct Deposit for payment to vendors. This will allow the vendor to be paid quicker and is one less check for Accounts Payable to process. If current or prospective vendors are interested, please direct them to Controllers/Vendor Information (link). 

Fraudulent Activities: We have had numerous inquiries from vendors who unfortunately have been targeted with fraudulent emails that “supposedly” are sent from Procurement & Contracts or Financial Services. Our IT department is working with the FBI to try and catch the hackers but they are a moving target and this is happening across the nation. 2017-2018 Combined Security and Fire Safety Report Available: The University of West Florida is committed to assisting all members of the UWF community in providing for their own safety and security. The 2017-2018  Combined Annual Security and Fire Safety Report is available on the University of West Florida Police Department website.

The website and booklet contain information regarding campus security and personal safety including topics such as: crime prevention, fire safety, university police law enforcement authority, crime reporting policies, disciplinary procedures and other matters of importance related to security and safety on campus. They also contain information about crime statistics for the three previous calendar years concerning reported crimes that occurred on campus; in certain off-campus buildings or property owned or controlled by the University of West Florida; and on public property within, or immediately adjacent to and accessible from the campus.
