Extended Equipment Loan Policies
The University of West Florida's John C. Pace Library provides a wide variety of equipment for currently employed UWF faculty, adjuncts, staff and currently enrolled UWF graduate students to utilize for a period of up to 3 weeks for purposes directly related to the University's Strategic Plan. Equipment in this program may be requested by filling out the following form. A confirmation email will be sent in regard to the status of a request; please allow 48 hours for processing.

Eligibility and Responsibilities
The John C. Pace Library's equipment in the Extended Loan Program may be checked out by currently employed UWF faculty, adjuncts, staff, and currently enrolled UWF graduate students who have and present a valid Nautilus Card, maintain library accounts that are in good standing, and who read, agree to, and sign an equipment loan agreement.
Currently enrolled UWF undergraduate students MUST be sponsored by a currently employed UWF faculty member, adjunct, or full-time staff member and have the sponsor fill out and submit a student request authorization form in order for the student to be eligible to check out any of the equipment in this program. Graduate students are not allowed to be a sponsor.
By sponsoring a currently enrolled UWF student to check out equipment from this program, the sponsor is agreeing to assume all legal and financial responsibility for the equipment that is loaned to the sponsored student. This assumption of responsibility means that the sponsor is the one held monetary responsible for any fines, fees, and/or replacement costs that the student may incur due to equipment being returned late, damaged, or lost/stolen while in the student's possession.
The working condition of equipment is assessed by library staff before checkout and upon its return. Upon checkout, the borrower assumes full responsibility for the equipment and all its components. Library staff strongly recommends and requests that borrowers inspect the equipment they are checking out before leaving the Circulation Desk so that they may immediately report any problems with the equipment. This action is an added measure meant to protect you, the borrower, because once you have checked out the equipment and left the Circulation Desk, you become monetarily responsible for any and all damage to and/or loss or theft of the loaned equipment.
The borrower is responsible for noting the time and date that equipment is due and is responsible for the security and prompt return of equipment checked out to him or her.
Equipment must be checked out and dropped off during regular business hours at the John C. Pace Library. Equipment from this program may NOT be returned to the Professional Studies Library, the Emerald Coast Campus Library, or placed in a campus drop box. Equipment will NOT be shipped to distance learners or remote faculty and staff and may NOT be shipped to the library for return.
Equipment MUST be inspected for damage, proper working condition, and any accessories that were loaned with the equipment before being checked in and the loan being removed from the borrower's account.
In an effort to protect borrows, we do NOT allow borrowers to check out equipment for another person unless the borrower has agreed to sponsor that individual for an extended loan equipment item and has been made aware of what that responsibility entails.
In the event that the borrowed equipment is damaged or lost, the borrower is required to report this information to one of the people listed below immediately. In the event that the borrowed equipment is stolen, the borrower is required to report this information to the police immediately as well as reporting the information to one of the people listed below. Failure to immediately report any problems with, damage to, or the loss/theft of equipment will result in the borrower permanently losing his or her equipment loan privileges.

The University of West Florida Libraries are not responsible for any lost data or documents. The borrower is solely responsible for saving files to a USB flash drive or other memory device.
When using a laptop or iPad, borrowers may sync additional data and applications, with the understanding that all data added by the borrower will be erased when the laptop or the iPad is returned. Any additional applications, media, or software purchased by the borrower during the loan period must be done with the borrower's own money and is not the responsibility of the University of West Florida Libraries.
Overdue Fines / Damage Fees
Overdue fines may be charged to encourage the prompt return of items in order to ensure fair access of the equipment to other borrowers.

Borrowers will be assessed fees for damage on an individual basis because of multiple factors that need consideration: extent of damage, equipment warranty availability, campus police involvement, etc.
Please note, if equipment is 1 week past due and the borrower fails to notify one of the three people listed in the section above or respond to inquiries from a library staff member, then the equipment will be reported as lost/stolen to the campus police and the full replacement cost of the equipment will be applied to the borrower's library and university accounts. Also, the borrower will permanently lose his or her equipment loan privileges. Please keep in mind that if you have sponsored a student who fails to return equipment, then the full replacement cost for the equipment will be applied to your accounts, and you may lose your extended loan equipment privileges; the student will lose all of his or her equipment loan privileges.
