Route It: Working with Proxies
Proxies
Route It allows you to designate other UWF employees as proxies to perform actions on your behalf. Depending on your situation, you may choose to use a proxy on a daily basis to ease your workload, or you may simply use a proxy to handle your Route It actions when you are out of the office.
If you set up a proxy, be sure to select an employee that is appropriate for the task. Think about the level of security and the knowledge required to perform the task, and then select someone who fits that responsibility.
Adding a Proxy
- Click the my proxies link at the top of the Route It main menu.
- Click the Add a New Proxy button.
- Search for the employee that you wish to add using their last name, email address, or ArgoNet username.
- Your search results appear in the box below. If the correct person does not appear automatically, select the employee's name from the drop-down list.
- Select the roles and workflows that you want your proxy to have access to.
- Enter dates for the proxy assignment. This is the period of time that the proxy will have access to the role and workflow you designated above. If you want to assign the proxy for an indefinite time period, leave the end date blank.
- Make sure the Email Notification box is checked if you want your proxy to be notified by email when a new item requires action for this role and workflow. The proxy email is identical to the email you receive from Route It.
- Click the Save button to add the proxy.
- The proxy now appears under My Proxies. At any time you can delete the proxy by checking the box beside the proxy's name and clicking Delete Selected Proxy.
Locked Routes
When using proxies, it is important to remember that
only one person can work on a task at a time. To prevent multiple people trying to complete the same task, the route goes into a "locked" state once it is opened. If the task is not completed or returned to the Route List, it will remain in the locked state indefinitely. The graphic below shows two locked routes.
The
yellow lock indicates that the task is locked by you. Only you can open a task with a yellow lock. To remove the lock so that someone else can open the task, you must open the task and click the "Save and Return to Route List" button.
The
red lock indicates that the task is locked by someone else. You can see who the task is locked for by positioning your mouse over the lock icon. If you want to open the task, you must contact that person and ask them to open the task and click "Save and Return to Route List."
