Additional Checklist for
PRIMARY ACCOUNT MANAGERS (Responsible Parties)
Perform these additional tasks if you are the PRIMARY MANAGER of an email account or calendar other than your own. If multiple people manage the email account or calendar, only one primary account manager (responsible party) should follow the steps below.
If you manage a department or organization email account...
- Ensure that you and your coworkers (if applicable) are set up to access the email account after G-Day. Two options are available. If your coworkers identified themselves in the "Get Ready for Google" form, they will receive instruction from ITS or their Local Support Provider.
- Prepare the email account for a smooth transition to Gmail:
- Identify email messages with attachments greater than 20 MB and save them to your computer or your H: drive. How do I do this?
- Remove slashes from folder names. Folders with slashes will not be moved to Gmail. How do I do this?
- Move sub-folders so that they are directly under the Inbox. Gmail does not support sub-categorization. How do I do this?
If you manage a department, room, or resource calendar...
Primary account managers will complete these tasks during their VIP work session.
- Attend a special VIP "Get Set" work session where you will complete the tasks below. Select account managers will receive a VIP invitation from ITS.
- For department calendars such as training and leave calendars, share the calendar to yourself so that you can manage it from your personal account. This step does not apply to room and resource calendars, which will already be shared to the primary resource managers by ITS. How do I do this?
- For room and resource calendars, change the calendar settings to either auto-accept invitations or manually-accept invitations. How do I do this?
- Share the calendar with everyone who manages and/or schedules the calendar. How do I do this?
- Set notification preferences for yourself and instruct other calendar managers to set up their own notification preferences. (In Google each calendar editor sets their own notification preferences.) How do I do this?
