If you do not use the state contracted carrier you may be responsible for the difference in cost between the state contracted vendor and the vendor you selected, unless no cars are available from a contracted carrier. In that case, document this on your Travel Expense Report form.

Personal Choice of Renting Higher Class Car or Using Non-State Contract Rental Car Company
Size of Rental Car
Subcompact or compact cars are approved for business rental. If you need a larger vehicle to accommodate other travelers or equipment on university business, document this on your Travel Expense Report form.
Gasoline
The state contract does not include the cost of gasoline. You will need to claim gasoline charges on your Travel Expense Report in the "other expense" column.
Receipts
Make sure you get an itemized original receipt.
Insurance
The State contracted rate already includes insurance. The traveler is responsible for the charge if he/she chooses to purchase more coverage.
ADA Accommodations
University employees who are scheduled for either domestic or international travel and who are requesting an ADA reasonable accommodation should submit their request a minimum of five (5) working days in advance of the scheduled travel. Personal Choice of Renting Higher Class Car or Using Non-State Contract Rental Car
The State of Florida will only reimburse up to the contracted compact car price. The traveler will have to pay the difference.
