What is a PCard?

The University of West Florida (UWF) PCard (Procurement Card) is a credit card issued by a financial institution to enable authorized users to make purchases from vendors for ONLY expense items. The charges you make will be approved and paid from your budget by Financial Services. A PCard purchase must be for business purposes only and in full compliance with all other UWF rules and policies.


Why should I use a PCard?

The UWF PCard is efficient, convenient, cost effective, decentralized, and expedites the ordering of urgently needed items or services. PCard transactions do not require a Purchase Order (PO) or a reimbursement process. Every time you use the PCard you save and make money for UWF. The PCard saves approximately $75 - $125 in administrative costs and provides an annual rebate from the financial institution to UWF based on the annual total spend.


How do I obtain a PCard?

UWF faculty and staff are eligible to apply for a PCard if their appropriate department head, chair, dean or vice president approves of such and the employee's duties require them to make business related purchases. Applicants must:

  • complete mandatory on-line training through the Human Resource Training Reservation Desk in My UWF;
  • obtain fund security; and,
  • execute the appropriate online (RouteIt) application and agreement

before a card will be issued or before approval rights are granted.


How do I get started?

Cardholder & Managers: Register for the PCard Basic Online e-Learning Course:

  • Go to the Training Reservation Desk in My UWF and click on the Training Calendar.
  • Scroll to the bottom of the page and change the date to the most current month and year.
  • Click on the PCard Basic course title to register.
  • You will be able to take the course the next day.
  • After you have registered for the course - on the following day:
    • Under the "e-Learning" there is a section titled "My eLearning Courses"
    • Click on the course title.
  • Take and complete the course.
  • After you have completed the course, you will receive an email congratulating you on your accomplishment and providing you with further instructions.

Managers: Register for the PCard Manager Online e-Learning Course:

  • Important: before taking this course, the Manager must have taken the Banner Basic course.
  • Go to the Training Reservation Desk in My UWF and click on the Training Calendar.
  • Scroll to the bottom of the page and change the date to July 2009
  • Click on the course title to register.
  • You will be able to take the course the next day.
  • After you have registered for the course - on the following day:
    • Under "e-Learning" there is a section titled "My eLearning Courses"
    • Click on the course title.
  • Take and complete the course.
  • After you have completed the course, you will receive an email congratulating you on your accomplishment and providing you with further instructions.
